Bulk Messages

The Bulk Messaging area lists every bulk message sent from your workspace, whether it was started from the CRM (Broadcast Messages) or through the API. Here you follow the progress, see what happened to each recipient and stop a send that is still running.

Where to find it

Go to System › Bulk Messaging. The Overview tab opens.

Overview

Each row is one bulk message.

ColumnWhat it shows
TitleThe name given to the bulk message.
ChannelThe channel it is sent from.
ProgressA progress bar of the sending jobs. Hover over it to see Total, Active, Failed and Completed.
Job StatusThe overall state: Created, Active, Completed, Stopped or failed.
CountThe number of recipients.
TypeNormal Message, Template Message or Custom Flow.
Submission DateWhen the send starts. A Planned badge marks a send scheduled for later.

Filter the list by Submission Date, Channels and Type.

The buttons at the end of a row:

  • Stop (prohibit icon): shown while the send is still running. After you confirm, MonoChat stops the remaining jobs and marks every recipient that has not been processed yet as Canceled. Messages already sent are not recalled.
  • Details (info icon): opens the details drawer.
  • Show (arrow): opens the recipient records.
info

Stopping needs the Delete bulk messages for tenants permission and opening the records needs Read bulk messages for tenants. See Roles.

Details drawer

The Details drawer has:

  • General: Created By, Created At, the Job and the Bulk Message ID (with a copy button).
  • Message or Custom Flow: a preview of the message that is sent, or the flow that is started, with its name and whether it Is bot? and Is active?.
  • Two charts: Job Status (pending, success, failed, canceled recipients) and Message Status (sent, delivered, read, failed and so on), each with the total in the middle.

Recipient records

Click Show on a bulk message to open one row per recipient.

ColumnWhat it shows
UserThe recipient.
StatusPending, Success, Failed (with the reason) or Canceled.
Message StatusThe delivery status of the message that was sent: Sent, Delivered, Read, Failed and others.
DateWhen the record was last updated.

Filter records by Date, Message Status and Status. On each row:

  • Chat opens the recipient's conversation.
  • Details opens the record drawer: User Name, User ID, Session ID, Reference ID, Record ID, the message that was sent and, for flow sends, the flow instance (its Status, dates and JSON Data).

Reference IDs

When a bulk message is created through the API, each recipient can carry a referenceId, for example an order or ticket number from your own system. It is shown on the record so you can match MonoChat's delivery result to your own data. See the Bulk Template Message API.

Why a recipient failed

Common reasons in the Status column:

  • Authentication templates require a phone number; this recipient only has a hidden-number WhatsApp identity: see WhatsApp Identity.
  • customerAddressUnreachable: the customer's only known number has been reassigned to another WhatsApp account, so MonoChat did not send. See WhatsApp Identity.

Tips

  • The sending jobs also appear under System › Jobs.
  • Check Message Status rather than Status to see whether customers actually received and read the message: Success means MonoChat sent the message, while Message Status shows whether it was delivered and read.
